Four Checks

What The Audit Looks At

Four key factors determine whether a process is suitable for outsourcing. We score each process across all four to get a clear answer.

01

Process Definition

Is the process written down or does it just live in an individual’s head? We check whether the steps, inputs, handoffs and exceptions exist as an SOP or workflow map that a trained specialist could follow.

02

Volume and Variability

How many hours does the process take and is that number steady enough? Volume decides whether it needs a dedicated specialist, a shared seat or a few hours of someone’s day. Variability decides how much backup coverage the plan needs.

03

Systems and Access

The tools or system, access requirements and the type of data necessary to handle the process. We identify the sensitive information (customer PII, health records, payment data) and the role-based access and NDA coverage the transition would require.

04

Cost Baseline

The current cost of running your process. We estimate the cost from your brief using weekly hours, labor costs, backlog, rework and overtime. We can give you a suggestion based on the baseline and how much you can save from outsourcing it.

When one of the four scores is weak, the audit tells you what needs to be fixed first. A process that fails on definition is not a sales opportunity for us. It is a documentation job for you, and the audit will tell you what needs to be documented.

WHAT HAPPENS NEXT

From Brief To Written Audit In Three Business Days

STEP 01

We Read The Brief (Day One)

An operations lead reviews what you wrote. If something is unclear, you get an email with a couple of questions instead of a calendar link.

Step 02

Written Audit Back

Receive a written report to share with your finance lead or partner. It includes each fit verdict, the cost baseline, transition outline, and a price range for processes suitable for outsourcing.

Step 03

You Decide

Read it, take the walkthrough call or skip it. If you decide to move forward, the audit stands in for the discovery and requirements step of onboarding. However, if you don’t, the audit still remains yours.

Fit Check

Who Should Send A Brief

A Good Fit

A repetitive back-office or front-office process that takes ten or more hours a week. A team not satisfied with their outsourcing results. An owner comparing outsourcing vs. hiring a staff.

Not A Fit

A process that is still in the planning stage, a project, or a one-time job. For example, a software integration job. We will also provide you useful directions in such cases.

What You Need to Know

It is a written audit. We send a document after you give us a brief. You can ask for a walkthrough call, but if you don’t want to, you will still receive the document. If a process is not suitable for outsourcing, we say it directly without offering a quote for it.

A few lines about the process: who does it, how many hours it takes, which tools are necessary for it and what is going wrong. If you have an SOP or a process map, attach it. If you do not, that is useful information in itself. Do not send logins, customer records or anything covered by a compliance obligation. We do not need them for the audit.

An automation audit looks for tasks that can be handled with software and technology. A quality or compliance process audit checks whether a process meets specific standards or compliance requirements. This audit answers whether a process can be handled by an external team, what it would cost against your current baseline and what fixes are necessary before transition.

Any of the functions listed on our business process outsourcing services page: sales support, call center and customer support, back-office processing, finance and accounting support, HR support, marketing support, IT helpdesk and after-hours coverage. If yours is not on the list, send it anyway. The four checks work the same way.
