BPO Pricing: Custom Quotes Built on Your Process
YesAssistant prices business process outsourcing based on your process, not a standard rate card. The same headcount costs differently across a data entry queue, a claims desk, and a support line that runs overnight. So we give you customized quotes based on your process. This page explains what affects the cost, what is included and how to get a quote.
Our BPO Pricing in Brief
- No published rate card. Every quote is built after a process review.
- The price follows the process: what the work is, how much of it there is, when it runs, and what it touches.
- Every engagement includes a dedicated team, secure role-based access, SOPs and quality control, backup coverage, reporting, and an account manager.
- The first step is the free process audit. The full scope of functions is on business process outsourcing services.
How Our BPO Pricing Works
It takes only three steps to get a quote after you send a message to us:
Free process audit
Send the process through the free process audit: what the work is, roughly how much of it there is each month, the hours it needs to run, and the tools it lives in. This is the discovery and requirements analysis step, and it costs nothing.
Scope and requirements review
We review the process with you: inputs, steps, exceptions, hand-offs, targets, and any compliance requirements. Where the work can be counted, we confirm the unit. Where it needs judgment or coverage, we confirm the team shape and the hours. The output is a written scope both sides agree on.
Proposal with pricing
You receive a dedicated team proposal with custom pricing for that scope, what is included stated in writing, and the go-live plan. Nothing is billed before you approve it.
Because the price is attached to a written scope, you can hold the invoice against it later. That is the point of pricing per process instead of per headline rate.
What Sets Your Quote
We consider six key factors and a complete audit form to produce a quote that fits your budget.
- Process type and skill level. Order confirmations and CRM updates need a different specialist than claims processing, KYC checks, or medical billing. Specialized services may require additional training and tighter quality control which gets reflected in your quote.
- Volume and how steady it is. Team size depends on the monthly volume of tasks. We can give you a more efficient team plan and pricing if your work volume suddenly doesn’t spike at the end of the month or season.
- Coverage hours. Business hours in your time zone, extended hours, weekends, and 24/7 operational support are each staffed differently. Tell us when the work must run, not only how much of it there is.
- Where the team is based. Delivery location sets the base cost before anything else is added. Which location fits which process is explained in onshore vs. nearshore vs. offshore BPO.
- Tools, access, and compliance. Pricing can also depend on systems, access and regulatory requirements such as HIPAA or PCI DSS. We need to consider whether the process works on your CRM or EHR and handles sensitive data.
- Team size and engagement length. Larger teams and longer engagements are priced more efficiently than a single seat for a short pilot. To see if you need a dedicated team or a single assistant, check BPO vs virtual assistant vs staffing agency.
What We Need to Quote Each Process Type
The audit form asks for some basic things for each process that matter most by function. So you can set clear expectations for us.
Process type | What we ask for |
Back-office and data entry | Records or documents per month, fields per record, source format, accuracy and turnaround targets |
Customer support | Tickets, chats, or calls per month by channel, coverage hours, languages, escalation rules |
Call center and sales support | Contacts or lists per month, calling hours, CRM used, what counts as a completed outcome |
Finance and accounting support | Transactions per month by type, systems used, close deadlines, approval rules |
Human resources support | Roles or candidates per month, screening criteria, scheduling tools, documentation required |
Marketing and IT support | Campaigns or tickets per month, tools and access needed, reporting cadence |
Describe a process in your own words if it doesn’t fit in the row above. We will map it in the review stage.

How to Get Your BPO Quote
Start with the free process audit. Send a short description of the process, the monthly volume, the hours it must run, the tools it lives in, and any accuracy, turnaround, or compliance targets. The more of that you include, the less we have to assume and the more accurate the quote.
Sending the audit does not mean you are committing to anything. We use it to understand your scope of work and prepare a proposal.
Questions on onboarding, security, and how the team is managed are answered on the BPO FAQ.
BPO Pricing FAQ
No. Every quote we provide is built after a process review. The same headcount can cost very differently for two processes when you consider the skill level, coverage hours, tools, and compliance requirements. A rate card would either overcharge simple work or undercharge complex work.
The price depends on the process. First, we review the work complexity, monthly task volume, work hours, necessary tools and delivery targets of a process. Then, we price a dedicated team based on that written scope. We give a number once you accept the scope.
A dedicated team trained on your process, secure role-based access, SOPs and quality controls, backup coverage, reporting on agreed KPIs, and a dedicated account manager. Everything included is listed in the proposal.
Yes. The team is sized to your volume and can be adjusted as it changes, whether that is seasonal demand, growth, or a process that winds down. Changes are agreed through your account manager and reflected in the scope.
You need to compare it against the written scope instead of a headline rate found elsewhere. Check that the other quote covers the same steps, work hours and inclusions.
